What every script should say
Say the person's name, the day and time, the place, what to bring, and how to reschedule. That is the whole job. Skip greetings that run on, and skip a recap of why they booked. A clinic, a salon, a vet, and a personal reminder can share that shape. Swap the place and the item to bring.
Keep private health details out of messages anyone could hear. A partner, a coworker, or someone who picks up the wrong handset will hear the recording from the start. Do not name a condition, a test, a result, or a medicine dose. "Doctor appointment at 10:15" is enough. The templates below use stand-in names so you can replace them with the real ones.
10 templates you can copy
Each script is written to stay under 45 seconds when you read it aloud at a normal pace. Read it once before you record. If you add a sentence, read it again. The product recording limit is 55 seconds, so a script that feels short on the page can still run long if you pause a lot.
Doctor appointment
Hi, this is a reminder for Alex. You have a doctor appointment on Tuesday at 10:15 at the health centre on Mill Street. Please bring your appointment card and a list of medicines you already take. To change the time, call the clinic on the number they gave you.
Dentist appointment
Hi Sam, this is a reminder for your dental appointment on Thursday at 2:00 at Park Dental. Please arrive a few minutes early. Bring any retainer they asked you to bring. To reschedule, call the practice. This is a reminder only.
Salon appointment
Hi Jordan, this is a reminder for your salon appointment on Friday at 11:30 with Nia at Harbour Hair. If you need to move it, call the salon before the day. See you then.
Vet appointment
Hi, this is a reminder that Miso the cat has a vet appointment on Wednesday at 4:40 at North Vet. Please bring the carrier, the lead, and any medicine the clinic already knows about. To change the time, call the clinic. Leave diagnoses out of this message.
Therapy session
Hi Riley, this is a reminder for your therapy session on Monday at 6:00. The session is at the office on King Street, or on the video link your therapist already sent. To reschedule, use the contact they gave you. This message does not describe the session.
Personal: remind me of my appointment
This is your reminder. You have an appointment today at 3:30 at the clinic on Baker Road. Bring your photo ID. If you need to move it, call them on the number in your calendar. If travel takes 25 minutes, leave by 3:00.
Confirmation call
Hi Morgan, please confirm your appointment on Tuesday at 9:00 at the clinic on Hill Road. Call the office to say you can attend, or to change the time. This call cannot take your reply. It only plays this message.
Reschedule request
Hi Morgan, the appointment that was set for Tuesday at 9:00 needs a new time. Please call the office on Hill Road to pick another slot. This message cannot book the new time for you.
Voicemail version
Hi Morgan, this is an appointment reminder voicemail. Your appointment is Tuesday at 9:00 at the clinic on Hill Road. Please bring photo ID. To reschedule, call the office. You can replay this from your voicemail.
Day-before and hour-before
Day-before: Hi Morgan, this is a day-before reminder. Tomorrow, Tuesday, you have an appointment at 9:00 at the clinic on Hill Road. Bring photo ID. To change it, call them today. Hour-before: Hi Morgan, your appointment is today at 9:00 at the clinic on Hill Road. Leave with enough time to arrive. To cancel, call them now.
The day-before script is for the evening before, when there is still time to rearrange the day. The hour-before script is for the morning of, when the useful fact is "leave now." Use one or both. They are two schedules, not one call that changes its own words.
Record it once and schedule it
Record the script in your own voice, or type it for an AI voice. Own-voice recording is on every plan, including Starter. AI text-to-speech is AI TTS from Focus and up. Then pick the time. A day-before call and an hour-before call are two scheduled calls. The confirmation call script is the one that asks them to phone the office, because this call cannot hear a yes.
Starter includes 3 free calls, one-time, and calls your own number. That fits the personal "remind me of my appointment" script. Focus also calls your own number, and it adds recurring schedules if the same slot repeats. Calling the person who has the appointment, on their phone, needs Support: you plus up to 4 other people. Ask them before you add the number. Pro lists up to 50 recipients and is Coming Soon. It may roll out in phases, so do not describe it as a plan you can buy today.
The call plays the message. It does not connect you live, and it cannot take a confirmation reply. If the office needs a yes, the script should tell them to call the office. For the personal setup, see appointment reminder calls. For clinics and no-shows, see appointment reminder phone calls and medical appointment reminder calls. More lines you can adapt are on the templates page.
Frequently asked questions
How long should an appointment reminder call script be?
Short enough to say in under 45 seconds. The recording limit is 55 seconds, so a script that runs long when you read it aloud will get cut off. Say the name, the time, the place, what to bring, and how to reschedule. Then stop.
What should I leave out of the message?
Leave out diagnoses, test results, account numbers, and anything you would not want a stranger to hear. Anyone who answers the phone hears the whole message. A first name, a time, and a place are enough.
Can these scripts call the person who has the appointment?
Starter and Focus call your own number, which fits the personal "remind me" script. Calling someone else needs Support: you plus up to 4 other people. Ask permission first. Pro lists up to 50 recipients and is Coming Soon.
What is the difference between a confirmation call script and a reminder?
A reminder states the appointment and how to change it. A confirmation call script asks the person to contact the office to say they are still coming. Neither script can collect a yes or no on the call, because the call plays a message and does not open a live conversation.
Can I use the same words if the call goes to voicemail?
Yes. Use the voicemail template, which says it is a voicemail and repeats the time and place. On Time Call can also retry on paid plans, including after voicemail, but a clear first message still matters if they only hear the recording later.
